Ticket acknowledgement template: 7 auto-replies to copy (2026)

Ticket acknowledgement template for online stores: copy standard, out of hours, peak season and urgent auto-replies, plus when to answer instead.

A ticket acknowledgement template is the automatic reply a customer gets the moment their message becomes a ticket. A good one does three jobs: it confirms you received the message, gives the ticket reference and says when a person will reply. For an online store, it also asks for the order number and points to where an answer may already exist.

What is a ticket acknowledgement template?

A ticket acknowledgement template, also called a customer service auto response or an automatic response template for emails, is a receipt, not an answer. It goes out within seconds, tells the customer the message arrived and says what happens next. Our templates hub links the rest of this set.

This page frames the acknowledgement for an online store’s orders, returns and sale peaks.

Zendesk’s default help-desk wording is a bare minimum: “Your request ({{ticket.id}}) has been received and is being reviewed by our support staff”, according to Zendesk’s help centre. It confirms receipt and gives a reference. It names no wait, asks for nothing and points nowhere.

What should a customer service auto response include?

A customer service auto response, or auto reply message, needs eight parts: a subject with the ticket reference, a confirmation, the reference, a reply window you can keep, what to send, a self-serve link, an urgent route and a human sign-off. Keep it short. It buys time and does not resolve anything.

Write the reply window as a placeholder and fill it with a time you can keep. A promise you miss is worse than no promise. Send from an address that accepts replies, never a no-reply address.

One limit on help desks: Zendesk’s automatic response cannot include the customer’s original message. The same help-centre page says so. Do not promise “here is a copy of your request” unless your tool supports it. For Zendesk setup, our guide to Zendesk auto-replies covers triggers and edits. Check a store form the same way: some send the customer nothing.

Ticket acknowledgement templates you can copy

These seven automated email response templates cover the cases an online store meets most. Each sits in a plain block with [placeholders] for hours, windows and links. Fill every one from your real policy before you switch the template on, and never leave a placeholder showing.

Standard acknowledgement (email)

Use it for every ticket that arrives in office hours.

Subject: We've got your message [ticket ID]

Hi [first name],

Thanks for getting in touch. Your message has reached us and your reference is [ticket ID].

We reply within [reply window] on [business days]. To help us answer faster, please reply with your [order number].

If you are after a parcel, you can track it any time on our [tracking page].

[Sender first name]
[Brand] Customer Care

Out-of-hours acknowledgement

Use it when a message lands outside your opening hours.

Subject: We've got your message [ticket ID]

Hi [first name],

Thanks for your message. Our team is offline right now. We are available [opening hours] and will pick up your ticket [ticket ID] from [next opening time].

Many questions do not need to wait. You can track your order on our [tracking page] and start a return on our [returns page].

Please reply with your [order number] so we can answer in one go.

[Sender first name]
[Brand] Customer Care

Weekend or holiday acknowledgement

Use it when the team is away for a known stretch.

Subject: We've got your message [ticket ID]

Hi [first name],

Thanks for getting in touch. We are closed until [return date]. Your reference is [ticket ID] and we will reply on our first working day.

[dispatch note]

[Sender first name]
[Brand] Customer Care

Say that orders still ship as normal only if that is true, and put it in the [dispatch note] line. Otherwise drop the line.

Peak season or sale acknowledgement

Use it for Black Friday, a launch or any sale weekend when volume runs high.

Subject: We've got your message [ticket ID]

Hi [first name],

Thanks for your message. We are busier than usual during [sale name], so replies are taking up to [peak reply window].

Before you wait, two things may already answer you: the delivery estimate on your order confirmation and our [returns policy] window. Your reference is [ticket ID].

[Sender first name]
[Brand] Customer Care

Give the honest longer window and one thing to check first. Skip the apology spiral: one thank-you is enough.

Urgent issue acknowledgement

Use it for damaged, missing or wrong items, or a payment taken twice.

Subject: We've got your message [ticket ID]

Hi [first name],

Thanks for telling us. Your reference is [ticket ID] and we are treating this as a priority.

So the first reply can fix it, please send your [order number] and, for a damaged or wrong item, a photo of the item and the packaging.

If it cannot wait, chat with us on [live chat link].

[Sender first name]
[Brand] Customer Care

Asking for the evidence up front means the first human reply can resolve the ticket. Our damaged items page shows how the agent handles these tickets.

Return or refund request received

Use it when the ticket is a return or refund request.

Subject: We've received your return request [ticket ID]

Hi [first name],

Thanks for your request. Your reference is [ticket ID] and we have it for order [order number].

Our return window is [return window]. We will confirm your next step within [reply window].

[Sender first name]
[Brand] Customer Care

For UK stores, gov.uk sets 14-day timelines on distance sales: the customer has 14 days from receiving the item to say they want to cancel, and you must refund within 14 days of getting the item back, according to gov.uk. That applies only where the rules cover the sale and is not legal advice. See returns tickets for how the agent works through them.

Chat or messaging holding reply

Use it in chat or messaging while an agent is assigned. Keep it to one or two lines and leave out ticket-number jargon.

Thanks for your message, [first name]. A member of the team is picking this up and will be with you in [reply window]. If you have it to hand, your [order number] will speed things up.

Can a Gmail or Outlook out-of-office work as an acknowledgement?

Not really. Gmail’s vacation responder is normally sent to a person only the first time they write, and again if they write after four days while it is still on, according to Google. It also skips spam and mailing-list mail. Outlook sends its automatic reply once to each person who emails during your absence, according to Microsoft.

That is fine for a holiday notice. It is not a ticket acknowledgement, because the second message in a thread gets nothing and nothing carries a reference.

How do you adapt customer service automated responses to your store?

Match the reply to the channel, the ticket type and the hour it arrives, then fill every placeholder from your real policies. The table maps common store scenarios to the template above and to what you need to fill in, with a link to how that ticket type is handled.

Write as your brand, in the second person, with one apology at most. Our guide to response tips covers tone. To draft variants with ChatGPT, the prompts guide has the prompts. For the targets behind your reply window, see response time.

What mistakes make an auto-reply backfire?

An auto-reply backfires when it promises a time you cannot keep, comes from a no-reply address, hides the urgent route or holds a customer whose answer already sits in your order data. Each one turns a small courtesy into a second contact.

  • A window that ignores weekends. A Friday ticket that promises “within one day” is broken by Monday.
  • No reference number. The customer has nothing to quote.
  • “Do not reply to this email”. It tells them you do not want to hear back.
  • Repeating the full policy. Link it; do not paste it.
  • Acknowledging every message in a thread. Send one receipt per ticket.
  • Auto-replies that answer each other. A customer’s out-of-office can set off a loop; the Zendesk auto-replies guide covers stopping it.

A personal mailbox adds a trap. Microsoft warns that replying to anyone outside your organisation sends the reply to every email, including newsletters, adverts and potentially junk, and recommends “My contacts only”. If email is how tickets arrive, our guide to email-to-ticket systems explains how a message becomes one. For the end of a ticket, see the closing template. For the first real reply, see the reply template.

Which tickets should an auto-reply answer itself?

An auto-reply can answer a ticket itself when the whole answer sits in data a system can read, such as the order record or carrier status, and in a written policy with no judgement call, such as the return window. Everything else gets one of the acknowledgement templates above.

Ticket typeData it needsPolicy it needs
Where is my orderOrder record and carrier trackingNone
Can I return thisOrder date[return window]
Cancel my orderDispatch status[cancellation cut-off]
Is this in stock, or what sizeInventory, size guideNone

Anything that needs an exception, a refund judgement or evidence such as damage photos keeps a person in the loop.

The expectation is high. HubSpot’s State of Customer Service research reports that 67% of consumers expect their ticket to be resolved within 3 hours, according to HubSpot. That is about resolution, not first reply, but for the data-and-policy tickets a receipt alone falls short.

A template cannot read the order. That is where an AI agent comes in. Our AI agent comparison covers which tickets humans should keep.

Where does Engaige fit?

Engaige (that’s us) isn’t an auto-responder: instead of acknowledging the ticket, it answers and resolves it inside the helpdesk your messages land in. Keep your helpdesk, replace the AI. Engaige AI configures the agent, and at Otrium the agent resolves 60% of 120,000 annual tickets end to end.

Engaige's value proposition, 'Resolve up to 90% of your support tickets automatically', above the product's policy editor: asked in plain language to create a policy for damaged items, Engaige AI adds 'Damaged item, replacement in stock', which checks stock, creates a free reshipment and leaves a note for the warehouse, captured 12 October 2026 in the Engaige demo organisation.

The angle here is offline hours. A holding reply buys time until the team is back; Engaige answers the ticket types you have let it handle on its own, including outside office hours. Otrium’s customers get immediate responses, even during peak periods or outside office hours, and anything the agent cannot solve goes to a human agent.

You stay in control of what that means. Policies set how the agent reasons, what process it follows and when it may act, and you decide per step and per ticket type what it does alone and where a person checks first. Engaige AI lets you test every policy before launch.

You go live in Agent Assist in hours: at first the agent only drafts inside your helpdesk and your team sends the replies. Every reply your team sends becomes training data. When a ticket type looks right, you move it to autonomous, most brands in about a week, so the evening queue shrinks one type at a time.

The full loop is in the templates hub. To see the agent answer from an order of yours, book demo.

Frequently asked questions

What is a ticket acknowledgement template?

It is the automatic reply sent when a message becomes a ticket. It confirms receipt, gives the ticket reference and sets the expected wait. It is a receipt, not an answer.

What should an automated email response to a customer say?

It should say the message arrived, give the reference, name the reply window you can keep and ask for what the first reply needs, such as the order number. Add a self-serve link and an urgent route.

How quickly should a ticket acknowledgement be sent?

Within seconds of the ticket being created, because the point is to remove the doubt that the message went missing. The reply window inside it is a separate promise, and you should only write one you can keep.

Should an out-of-hours auto-reply give a reply time?

Yes, as your [opening hours] and the [next opening time] when the queue is picked up. Point to the tracking and returns pages for questions that do not need a person.

Can I use my Gmail or Outlook out-of-office as a ticket acknowledgement?

Only for a holiday notice. Gmail normally replies to a sender once (again after four days), and Outlook replies once to each sender. Neither carries a ticket reference.

Which customer questions can an automatic reply answer on its own?

Those whose whole answer sits in readable data, such as the order record or carrier status, and in a written policy with no judgement call, such as the return window or cancellation cut-off. Exceptions and evidence need a person.

Does Engaige send ticket acknowledgements?

No. Engaige is not an auto-responder: it answers and resolves the ticket types you let it handle, inside your helpdesk. Keep your helpdesk, replace the AI.

Can I control what an AI agent answers on its own outside office hours?

Yes. You decide per step and per ticket type what Engaige may do on its own and where a person checks first, and Engaige AI lets you test every policy before launch.
